Rental Showing Confirmation Message Templates

Copy-and-paste messages for confirming showings, sending reminders, and rescheduling.

A short, clear message at the right moment is one of the highest-leverage things a landlord can do. It cuts no-shows, prevents miscommunication, and makes you look organized.

Here's a set of copy-and-paste templates for every stage of the showing process. Tweak them to sound like you.

Initial booking confirmation

Send this within minutes of the slot being booked.

Hi [Name], confirming your rental showing for [Address] on [day, date] at [time]. I'll meet you at the [main entrance / front door / lobby]. My number is [phone] if anything changes. See you then. — [Your name]

Day-before reminder

Send the evening before. Quick and friendly.

Hi [Name], just a quick reminder we're meeting at [Address] tomorrow at [time]. Let me know if anything's changed on your end. — [Your name]

Day-of reminder

Send 2–4 hours before. The single biggest no-show reducer.

Hi [Name], looking forward to seeing you at [Address] today at [time]. Text me if you have any trouble finding it. — [Your name]

Reschedule (you initiate)

Hi [Name], something's come up and I need to move our showing at [Address]. Could we do [time A] or [time B] instead? Sorry for the shuffle. — [Your name]

Reschedule (they initiate)

No problem at all. The next open slots are [time A] and [time B] — let me know which works and I'll lock it in. — [Your name]

Cancellation acknowledgment

When they cancel and aren't rebooking. Keep it warm — they may come back, or recommend you to someone.

Got it, no worries. Best of luck with your search — feel free to reach out if anything changes. — [Your name]

Showing-day arrival message

Useful for buildings with intercoms or tricky access.

Hi [Name], I'm here at [Address]. When you arrive, [press buzzer #X / call me and I'll come down / use the side entrance]. — [Your name]

Post-showing thank-you

Hi [Name], thanks for stopping by [Address] today. If you'd like to apply, here's the link: [link]. I'm reviewing applications through [day]. — [Your name]

No-show check-in

Neutral, no guilt.

Hi [Name], waited at [Address] until [time] but didn't see you. Hope everything's okay — let me know if you'd like to reschedule. — [Your name]

A few small things that make these work

  • Always include the address and time, even if you've sent it before
  • Keep your phone number visible
  • Use their name
  • Match the channel they used (text → text, email → email)
  • Keep messages under four sentences

Save them somewhere

Put these in your phone's text replacement, a notes app, or your scheduling tool. The whole point is that a confirmation, reminder, or reschedule should take 10 seconds — not 10 minutes of writing from scratch.
