Most applicants put real effort into their application. They shared documents, took time off work to view the place, and waited for your decision. A short, kind message goes a long way.

It also protects you. A vague or emotional reply can feel personal — and personal-sounding decisions are the kind that get questioned later. A calm, neutral message keeps things clean.

What to avoid saying

  • Don't list specific reasons that touch protected categories (family status, source of income, nationality, etc.). Even if you mean well, it can sound discriminatory.

When the applicant didn't quite meet your criteria

Keep it neutral. You don't need to itemize what was missing.

Hi [Name], thanks for your application for [Address]. After review, we won't be moving forward this time. I appreciate your interest and the time you put into applying. — [Your name]

Tips for handling multiple applicants at once

  • Decide on the chosen applicant first, and only confirm with them before sending declines.
  • Send all decline messages on the same day — don't leave people waiting longer than they need to.
  • Keep your message format consistent. Personalize the name and address, but keep the body the same.
